Water Mitigation Estimate Documentation Checklist
A water mitigation estimate is easier to review when the records tell a consistent story: where the work took place, what the contractor documented, when equipment was deployed and which measurements support the quantities. A folder full of photographs is a start, but the estimator also needs the connections between them.
Use this checklist to organize a file before sending it for estimate writing. It is a documentation aid for contractors, not a field drying protocol, a universal list of billable operations or a statement that a carrier must approve an item.
1. Identify the project and its status
Provide the contractor company, authorized contact, project location and relevant dates. State whether field mitigation is complete, still in progress or awaiting clarification. Identify the records’ cutoff date so an early snapshot is not mistaken for a finished job.
If you already have an estimate, include the current PDF and ESX if available, with its version/date. If you need writing from a defined scope, identify that clearly; a carrier estimate is not required for that starting point.
2. Describe the affected work by area
Connect each room or separately measured area to its scope, dimensions and photographs. State the source and units of each measurement. Describe the actual documented operations and any uncertainty that affects the estimate.
Keep mitigation and reconstruction distinguishable. Removing affected material and later replacing the assembly may belong in different scopes. Identify shared protection, disposal or other operations so the same work is not counted twice.
3. Organize the field records
Include relevant moisture and atmospheric records, identified by date, location and measurement point when those details exist. Preserve the original values and units. Connect any supplied water category/class determination to the contractor’s responsible field lead and supporting record.
Missing records should be listed as missing. Do not backfill readings, select a technical classification to satisfy a form, or replace a field judgment with a guess. Material contradictions should be resolved with the qualified person responsible for the work.
4. Build an equipment timeline
For each documented placement interval, identify the equipment type or unit, quantity, location, placement time/date and removal time/date. Record movements or changes so overlapping periods can be recognized. When available, connect supporting photographs, signed logs or other records to the interval.
A useful record distinguishes equipment presence from the separate question of whether the estimate’s quantity, duration and billing basis are supported. Do not assume a universal rounding rule, a standard number of drying days or that every listed unit belongs on every job.
For example, an equipment log and removal photograph may show different dates. Flag the discrepancy and ask the field lead which source is correct. The estimator should not silently choose the longer interval.
5. Connect the photos and invoices
Use overview photographs to identify the area, then details showing the condition or documented operation. Consistent filenames help connect the photo to the scope and timeline. Keep only relevant project information; avoid unnecessary occupant details or unrelated personal records.
Include applicable invoices, equipment records and client instructions. Identify whether an amount is a documented incurred cost, a supplied quote or an estimating assumption. A generic price-list item does not by itself establish that the operation was performed, required or reimbursable.
6. Put the open questions in one place
Before sending, list unresolved measurements, conflicting dates, missing records and any scope that has not been agreed. A short issue list is more useful than making the file appear complete through assumptions.
An organized handoff can use six folders or clearly named groups: project and scope; measurements/sketch; photos; moisture/atmospheric records; equipment records; and existing estimates/invoices. Use an authorized share link or the intake’s supported upload options. Verify recipient access instead of making private records public.
What the estimator should return
A writing assignment should identify its actual deliverables before work starts.
