A documented estimate with support at the line item

F9 notes connect an estimate item to the reason it belongs in the documented repair. Depending on the accepted assignment, that may mean explaining a quantity, identifying a connected operation, or referencing applicable technical material.

This is an estimate-writing add-on, not a purchase of generic notes to paste into any file. Sending another party’s estimate can help us review the starting point; it does not automatically establish a standalone service for adding notes to that estimate.

Send the evidence behind the work

Identify the operations you want examined and connect them to the property records. A folder of photographs is useful, but it does not replace measurements or your direction about what will be repaired.

• The latest written carrier estimate and any later approval information for the same claim and scope, when available.
• Your defined roofing or room-by-room reconstruction scope, measurements, sketch, and available ESX.
• Photographs labeled well enough to locate the condition, material, or repair area.
• Relevant product information, installation details, invoices, and project-specific instructions already in your file.
• The questions or differences you want us to review, with any important missing information identified.

We assign Simple or Advanced after reviewing the file

Simple F9 Documentation addresses targeted items where most principal repair scope is already approved. Advanced F9 Documentation addresses files needing broader reconstruction analysis, research, or more extensive technical support.

The classification follows the work required: missing operations, trades, systems, finishes, available records, and applicable code or manufacturer support. It is not determined by the claim total or a fixed percentage of missing scope. Your team can accept or decline the assigned service before work begins; selecting F9 does not let a client require the lower tier.

From your records to the completed estimate

• Send the file. We check whether the scope, quantities, source records, and baseline are sufficient for the requested assignment.
• Confirm the terms. We identify the documentation level, base estimating work, fee basis, accepted deliverables, and delivery target.
• Prepare and check. We write the estimate and its F9 notes, connecting explanations to the relevant items and available support.
• Review the handoff. Your team checks the estimate, sketch, notes, and included files against the actual job before approving or using them.

Two separate fees, at different points

The base estimate fee pays for the estimate. The F9 fee pays for the accepted documentation service. They are fully separate; the base estimate payment does not become an F9 credit.

For standard accounts, the base estimate fee is paid at handoff before the final files are released. The estimate is delivered with its accepted F9 notes already included. Approved periodic-billing clients follow their agreed payment and release schedule.

The separate F9 percentage fee or applicable minimum is billed after your team reports the final carrier settlement or approval and SaguaroScope verifies the result. The percentage applies to attributable additional carrier-approved RCV for the same claim and substantially the same scope, above the agreed written baseline. It does not apply to the entire claim. There is no upfront F9 deposit or F9 handoff minimum.

Your company keeps control

Your company confirms field conditions, supplies the repair scope, reviews the deliverables, and controls their use and submission. F9 documentation does not establish insurance coverage or guarantee that an item will be approved.

Carrier Technical Coordination is a separately authorized service for eligible work. It can include transmitting and explaining a client-approved technical package at your direction. It is not included just because F9 notes are selected. SaguaroScope does not represent the insured, negotiate a settlement, accept or reject carrier payments, or make coverage decisions.

We work remotely with contractors across our approved service area. We confirm location, file fit, documentation, and capacity before accepting production. Water mitigation has its own writing and technical-support services; it does not use this F9 add-on.
