Overflow support works best when the assignment has a clear boundary. An estimator can retain the complicated field questions while delegating a well-documented file. A project manager can organize a completed mitigation job while the internal team stays focused on active repairs.

Identify the result you need: an estimate from your scope, an estimate with F9 documentation, or mitigation writing from completed field records. If the file still needs site measurements, scope decisions, or clarification of what work occurred, tell us. We confirm what is needed before accepting production.

Make the handoff specific

Choose one person on your team to answer scope questions and review the draft. Include the requested due date, but distinguish a target from a deadline already promised to someone else. A handoff that exposes missing information early is more useful than one that conceals it.

• Identify the job, location, work type, company contact, and requested deliverables.
• Send the defined scope, measurements or sketch, photographs, and relevant job records.
• For comparison or F9 work, include the current estimate history and applicable carrier baseline.
• For mitigation writing, send drying records, equipment placement and removal intervals, moisture mapping, and the completed work scope. An insurer-written estimate is not expected.
• Identify work your internal estimator is retaining, known exclusions, and any unresolved questions.

A defined review and production sequence

• You send the assignment. Supply the available records and tell us where the file stands.
• We check fit and completeness. We review the inputs, identify missing facts, and confirm the estimating work required.
• We confirm acceptance. Scope, service level, fees, deliverables, and a delivery target are established before production.
• We prepare and check the estimate. Questions about field conditions or intended repairs return to your designated contact.
• Your team reviews the result. Verify the scope and quantities, resolve open questions, and approve the file for its intended use.

Know what comes back

For accepted roofing and reconstruction Estimate Only work, the deliverable is the project-specific estimate and corresponding sketch. Confirm the PDF and native ESX deliverables in the accepted service so your internal team knows what it can review, revise, and archive.

F9 documentation is an optional addition to eligible roofing and reconstruction estimates. Its accepted notes are written inside the relevant line items. It is not included with Estimate Only. Technical coordination is a separate service with its own written authorization.

Accepted mitigation writing includes an editable ESX, review PDF, factual source notes, a source register, and exceptions. Mitigation estimate review is a different assignment and does not return a rewritten ESX.

Confirm capacity before promising a date

Overflow demand does not make every file ready for immediate production. Turnaround depends on the accepted scope, complexity, documentation, questions, revisions, and current capacity. We confirm the target for your file; there is no universal same-day or next-day promise.

For several files, give us the priorities and each file’s readiness. Do not assume that sending a batch reserves capacity or that all files should be started together. A complete, bounded assignment gives both teams a clearer basis for deciding what can move first.

Keep fees and responsibilities visible

Published pricing provides the starting point for eligible work. We confirm the applicable classification or quote before production. Sending volume does not create an automatic discount, reserved capacity, or a subscription.

Standard estimate-writing accounts pay the base estimate fee at handoff before final release. Approved periodic accounts follow their agreed schedule. With F9, the base estimate fee remains separate from the later documentation percentage or minimum; it is not credited against that fee.

SaguaroScope serves contractors remotely across its approved service area, subject to file and location acceptance. Your team remains responsible for field documentation, repairs, and approval of the finished estimate. We do not determine coverage, represent the insured, negotiate settlements, or guarantee carrier approval. Any accepted technical transmission is limited to separately authorized, client-approved materials.
