Pair each photo set with a defined scope

Explain what your company plans to do, where the work begins and ends, and which materials or components are involved. A repair list organized by roof area, elevation or room makes the photographs useful without requiring a separate caption on every image.

Include overview photos that establish location, then closer views of the conditions and relevant material details. Keep original records when available. Tell us if the images show the property before removal, during work or after repairs; those stages answer different questions.

Separate visible conditions from missing facts

A photograph can show an exposed material or damaged surface. It may not establish the dimensions, full extent, concealed layers or work that occurred outside the frame. We ask for the missing fact instead of turning an assumption into a measured quantity.

• Identify the location and affected area; a close-up without context can be hard to place.
• Supply actual dimensions or a usable measurement record. A photo count is not a quantity takeoff.
• Explain changes since capture, including demolition, drying, temporary repairs or newly exposed conditions.
• Flag unknown materials, dimensions and repair decisions so your field contact can resolve them.

A plan image also needs scale information. Xactware’s underlay workflow uses a line with a known length to set scale before tracing; an undimensioned image does not automatically become a reliable sketch.

What happens after you send the file

1. Send the property details, requested service, contractor scope, photos and available measurements or records.
2. Staff checks scope clarity, quantities, record conflicts and service fit. Your field contact resolves missing facts.
3. The PSO or applicable standing annual agreement defines the accepted work, price and delivery terms.
4. SaguaroScope prepares the accepted estimate. Your team reviews quantities, materials and repair boundaries.
5. The included ESX and PDF are released under the agreed payment terms. Your company controls approval and submission.

Roofing and reconstruction Estimate Only includes the corresponding sketch. Mitigation has separate published sketch-preparation terms. Staff confirms the needed inputs and accepted scope; a photo upload alone does not promise a complete estimate or a fixed delivery date.

Choose the service for the work you need

If you need the scope written into Xactimate, start with the applicable writing service. For roofing or reconstruction, selected F9 Documentation adds supporting notes within the estimate SaguaroScope writes. An existing carrier or contractor estimate can provide context when available.

For mitigation, field records drive the writing assignment; an insurer-written estimate is not expected. A contractor who already has a mitigation estimate may instead fit the separate limited file-review service. Review findings are not a rewritten ESX.

Keep the handoff and responsibilities clear

For ordinary writing accounts, the writing fee is paid at handoff before final ESX/PDF release. Approved periodic accounts follow their agreed terms. Where F9 applies, its later verified-outcome percentage or minimum fee is separate from the base estimate fee, with no estimate-fee credit.

Your company verifies field conditions, supplies the scope, reviews the completed estimate and controls submission. SaguaroScope provides contractor-side estimating and documentation; it does not determine coverage, represent the insured, negotiate a settlement or guarantee approval.
