WRITING WITHOUT AN INSURER ESTIMATE

No carrier estimate? Start with your own scope.

You do not need an insurer-written estimate simply to request Xactimate estimate writing. SaguaroScope can assess a contractor’s defined scope, measurements, photos and supporting records for an accepted assignment. Writing from field facts is different from comparing against a carrier baseline. Water mitigation writing normally starts without an insurance estimate and uses its own service and billing terms.

Identify which document is missing

A carrier estimate, contractor scope and editable ESX serve different purposes. Tell us what you have and what your company needs produced. A missing carrier estimate does not mean the repair scope or quantities must be unknown.

Different starting points need different records
Your starting pointWhat the writing file needs
No carrier estimate issuedContractor-defined work, field measurements, photos and the relevant project records.
Carrier PDF exists, but no ESXThe complete current PDF, any earlier relevant versions, your scope and supporting records.
Completed mitigation workMeasured scope, job status, drying logs and equipment deployment records; no insurer estimate is expected.
Scope still undecidedField decisions and missing facts identified for your contractor contact before production is accepted.

For roofing and reconstruction, supply the scope

Describe the work by slope, elevation, room or trade. Provide dimensions, material details, affected areas and any existing measurement report or sketch. Photos support the conditions; your company remains responsible for the proposed repair boundaries and field facts.

SaguaroScope checks the records, confirms fit and prepares the accepted Xactimate estimate for your review. Remote writing across the approved service area does not replace an inspection or decide what an insurer must cover.

  • Identify the property and your company’s project contact.
  • List the operations and areas to include, plus any exclusions or unresolved decisions.
  • Send measured quantities or the dimensions needed to establish them.
  • Explain whether the assignment is an initial estimate or changes to previously documented work.

Do not confuse writing with an F9 baseline

The base writing assignment can be assessed without a carrier estimate. Roofing and reconstruction F9 Documentation has a separate comparison and fee basis: the latest written carrier RCV for the same claim and substantially the same scope before percentage documentation begins.

If no written carrier estimate exists, tell staff. Do not enter zero or substitute the contractor’s estimate as an assumed baseline. Staff must resolve F9 eligibility and the agreed written basis before that additional service begins; the missing baseline is not a reason to invent one.

When selected and accepted, F9 notes are delivered within the estimate SaguaroScope writes. The base estimate fee is separate from the later verified-outcome F9 percentage or minimum fee, with no estimate-fee credit.

Mitigation starts from the work records

Mitigation writing does not expect an already written insurance estimate. For completed work, send the scope, measurements, photos, drying logs and equipment records. Dates, counts and affected areas must come from the actual job records.

A contractor’s existing mitigation estimate can instead fit the separate limited file review, paid before review begins for ordinary accounts. That review produces findings and a writing recommendation, not a rewritten ESX. Optional technical support is available for SaguaroScope-written mitigation estimates; a review-only file must upgrade to writing first.

Mitigation technical support does not require a carrier-estimate baseline or an F9 purchase. It follows the published work-based phases and the client-approved mitigation estimate amount fixed before first submission.

From available records to an accepted assignment

  1. Send the records you have and state that no carrier estimate is available.
  2. Staff checks scope completeness, service fit and any missing field information.
  3. Confirm the accepted service, price and delivery terms through the PSO or applicable standing annual agreement.
  4. Review the prepared estimate against your company’s scope and records.
  5. Receive the included final ESX/PDF under the agreed payment terms and control your own submission.

Ordinary writing fees are paid at handoff before final release; approved periodic accounts keep their agreed terms. A preliminary or in-progress mitigation assignment needs its own confirmed scope. Uploading a file does not promise a fixed turnaround, coverage decision or carrier approval.

Questions contractors ask

Can SaguaroScope write an estimate before the insurance company does?

A writing file can be assessed from your contractor-defined scope, measurements, photos and records without an insurer-written estimate. Acceptance depends on the usable information and agreed service terms.

Is a carrier estimate required for mitigation writing?

No. Mitigation writing starts from the contractor’s completed-work scope, measurements, photos, drying logs and equipment records. An insurer-written estimate is not expected.

Can I use zero as my F9 baseline if no carrier estimate exists?

Do not assume a zero baseline. Tell staff there is no written carrier estimate so F9 eligibility and its written comparison basis can be resolved before the additional service begins.

Does the initial writing fee include F9 fees?

No. For accepted roofing or reconstruction F9 work, the base estimate fee and the later verified-outcome F9 percentage or minimum fee are fully separate. There is no estimate-fee credit against F9.

What if a carrier estimate arrives after I send my file?

Add the complete document and tell your project contact when it arrived and what version it is. Staff checks how it affects the accepted assignment and any F9 comparison basis; it does not silently change the service or price.

Does SaguaroScope submit or negotiate the claim for me?

Your company controls submission and scope approval. Optional technical support requires the accepted service terms. SaguaroScope does not determine coverage, represent the insured, negotiate a settlement or guarantee approval.
